Simple time off, without leave balances#

Owners and admins can record leave for active non-owner staff. Managers can record leave for employees in their assigned active branches. Employees should ask their manager or administrator to record their time off.

Leave uses whole dates. There are no employee approval requests, balances, accruals, half-days or paid/unpaid calculations. An optional note should be brief and avoid unnecessary medical or personal details.

1. Open Staff leave#

  1. 1

Open Staff leave in the management navigation.

  2. 2

Choose Mark as on leave. You can also open a person’s profile and use the same action there.

  3. 3

Select the correct employee. The profile shortcut selects that person for you.

The default view shows current and upcoming leave. Choose All leave from the status filter when reviewing past or cancelled entries.Demonstration data · Hooteyes guide preview

2. Set the inclusive dates#

  1. 1

Enter the start date and end date. Both dates are included.

  2. 2

Add an optional note if it helps the team understand the arrangement.

  3. 3

Choose Save leave and wait for confirmation.

  4. 4

Check the saved dates in the list. If the person already has leave covering part of that period, edit the existing entry instead.

For leave from 6 to 8 November, the employee is covered on the 6th, 7th and 8th. Their next uncovered date is the 9th.Demonstration data · Hooteyes guide preview

What happens to attendance?#

Covered scheduled shifts show On leave instead of Expected or Absent. A day with no scheduled work remains a day off. Leave does not delete the person’s roster or regular policy, so the schedule is still there when the leave ends.

Overnight shifts use the date they start in the branch time zone. A shift starting on the last leave date remains covered after midnight.

If the person works during leave, their actual attendance stays recorded. Monthly reports flag Worked during leave for review. Leave does not block clock-in, and schedule reminders still show the underlying schedule.

Edit, cancel or backdate leave#

  1. 1

Search for the employee and choose All leave from the status filter if you need past or cancelled entries.

  2. 2

Choose Edit dates to correct the range or note, or Cancel leave to remove its attendance exemption.

  3. 3

Read and confirm cancellation. The entry remains in history.

  4. 4

For a completed month with a saved report, generate a new monthly-report revision if the changed leave must be reflected there.

Keep in mind

Cancelling leave makes covered scheduled shifts count toward attendance again. Earlier saved report versions do not change automatically.
